What it is
Reclaim.ai is an AI calendar assistant that works on your own calendar rather than on other people's bookings. You tell it what needs to happen in a week: focus work, recurring habits, tasks from your task manager, breaks, even travel time between meetings. Reclaim finds room for all of it, and when a new meeting lands on a slot it had reserved, it moves the flexible blocks instead of letting them silently die. Its Focus Time feature actively defends work blocks against meeting creep, which is the part most calendar tools don't do: they show you being busy, Reclaim keeps you busy with the right things.
It connects to Google Calendar and Outlook, pulls tasks from tools like Asana and Todoist, and posts your status to Slack.
Who it's for (and who it isn't)
Reclaim fits people whose calendar fills up with other people's priorities: managers, consultants, anyone in meetings half the week who still owes deep work the other half. It's also useful for teams that want to protect focus time culturally, since it schedules around real meeting load instead of relying on discipline, a pattern covered in planning your day automatically.
It is not a booking page. If your problem is clients or prospects emailing to find a time, that's a different job, and a tool like Calendly or Cal.com solves it. Reclaim also overlaps with Motion, which bundles similar auto-scheduling with project management; if you want tasks and projects managed in the same tool, compare those two first.
Pricing
Reclaim uses a freemium model: the Lite plan is free, and paid plans start from $10 per user per month. The free plan is a genuine starting point for an individual who wants to try calendar automation on one calendar before paying anything.
Set it up
Official guide: How to get started with Reclaim
- Create a Reclaim account on the free Lite plan. When you sign up, connect the Google Calendar or Outlook Calendar you use most for work. Reclaim now sees your schedule.
- Open "Settings", then "Hours", and set your working hours, meeting hours and personal hours. Reclaim now uses these hours to decide where to place things.
- Add a habit, which is a routine such as lunch or weekly planning that Reclaim places for you. In the far right menu click "Agents" (an agent is a standing instruction on your calendar that Reclaim carries out for you), then "Add", and choose a Habit template. Set when it may move and how short it may get. Reclaim now shows the proposed changes in Preview Mode.
- Look at where the habit lands in Preview Mode, which shows the proposed calendar changes before anything goes live. Then apply the changes. You now see the habit on your calendar.
- Add Focus Time, which is protected time for work that needs no interruptions. Click "Agents", then "Add", and choose Focus Time. Set a "Weekly goal" for how many hours you want. Review the Preview Mode, then apply it. Reclaim now finds those hours between your meetings and moves them when a more important event needs the time.
- Add your real tasks. Click "+Create" in the top navigation, choose "Task", add a due date, a duration and a priority, and save. Your task appears in the Tasks section of the right-hand sidebar.
- Move one Focus Time block yourself to a time you prefer. Reclaim now stops moving that block.
When this works, your calendar holds your lunch, your focus hours and your meetings in one plan, and Reclaim reshuffles the flexible parts when a new meeting arrives. To use it for your own work, start with your hours, one Focus Time goal and at most three habits, because every habit takes time from your day.
Strengths and limitations
Reclaim's strength is that it automates the replanning nobody actually does by hand: every new meeting quietly triggers a reshuffle of your flexible time, and your focus blocks survive. The free plan makes it cheap to find out whether that changes anything for you.
The limitation is scope: it manages your own calendar, not your clients' bookings, so many people pair it with a separate booking tool. And like every auto-scheduler, it's only as good as the priorities and time estimates you give it. Garbage in, garbage out still applies.
