The problem
Bookkeeping done once a year is not bookkeeping, it is archaeology with a deadline. Someone reconstructs twelve months from bank statements and a bag of receipts, categorises transactions they were not present for, and hands you a picture of a year you can no longer change.
The immediate cost is the fee, which is higher precisely because the work is reconstruction. The larger cost is decisions made blind. You cannot see whether this quarter is better than last, whether a client is worth keeping, or whether you can afford a hire, because the only complete picture arrives after the period it describes has ended.
There is also a quiet risk. Missing receipts mean deductions you cannot claim, and VAT filed on a reconstruction is more likely to be wrong.
What AI can actually do here
Receipt scanning is the one that changes behaviour, because it removes the step people skip. Photograph the receipt, the tool reads the amount, date and supplier, and it becomes a record rather than paper in a bag.
Bank reconciliation is the other half and it is largely rules rather than intelligence. Transactions come in from the bank feed and get matched to invoices and bills, with recurring ones learned so the same supplier is categorised the same way each month. What is left over is a short list you review instead of a full year you rebuild.
Reporting is where it pays off. A profit and loss you can look at this month, aged receivables that show who has not paid, and a VAT position that is current rather than estimated.
What it does not do is judgement. Whether a cost is deductible, how to treat an unusual transaction, and what your annual filing needs are still questions for a professional. The change is that you are paying them for advice rather than for data entry.
How the tools differ
Zoho Books has the most generous free tier in this group: EUR 0 for 1 user plus 1 accountant, with unlimited invoices, quotes, expenses and journals, receipt scanning and online payments. Professional is EUR 40 per month or EUR 30 billed annually for 5 users and 10,000 invoices per year, Premium EUR 60 or EUR 50 annually for 10 users. That free tier including an accountant seat is the detail that matters, because it means your bookkeeper can work in the same file.
Wave has a free Starter plan with unlimited estimates, invoices, bills and bookkeeping records. Pro is $19 per month or $190 per year. Online payments are 2.9% plus $0.60 per card transaction, with the fixed fee waived on Pro for the first 10 transactions each month, and payroll starts at $25 per month.
FreshBooks has no free plan and prices by billable clients: Lite $23 per month for 5 clients, Plus $43 for 50, Premium $70 for unlimited, with a 30-day money-back guarantee. It leans toward service businesses that bill time, with time tracking and automatic late payment reminders included.
If invoicing rather than bookkeeping is your actual problem, FreshBooks vs Wave compares those two directly.
When you don't need a tool
If you have twenty transactions a month and a bookkeeper who charges little, a spreadsheet and a folder is proportionate. The tool earns its place at the volume where categorising is a chore.
If your accountant already has a system they want you in, use theirs. Fighting your accountant’s workflow to save a small subscription costs more in their hours than it saves in yours.
And if the pain is that invoices are not being paid rather than not being recorded, see chase unpaid invoices automatically.

Frequently asked questions
Does this replace my accountant?
No, and it should not. It replaces the data entry your accountant is currently doing at professional rates. What remains is advice, judgement on unusual items and your annual filing, which is what you actually want to be paying for.
Can I really do this on a free plan?
For a small business, often yes. Zoho Books is free for 1 user plus 1 accountant with unlimited invoices and receipt scanning, and Wave’s Starter plan covers invoicing and bookkeeping records at no cost. Payment processing fees are separate and are where the real cost sits.
How accurate is receipt scanning?
Good on clear receipts from normal suppliers, less good on faded thermal paper, handwriting and foreign formats. Check the extracted amount and date rather than trusting them, particularly on anything large. The saving is in the typing, not in skipping the look.
What about VAT?
These tools track a VAT position and produce reports, but the rules on rates, reverse charge and cross-border supply are jurisdiction-specific and change. Have your accountant confirm the setup once at the start. A misconfigured VAT setting produces confidently wrong numbers all year.
