Run a team that works in different time zones
Half the team is asleep when the other half needs an answer, so work waits a day and the only meeting that suits everyone is nobody’s morning.

The problem
Distributed teams do not fail because people are lazy. They fail because a habit built for one office survives the move: decisions get made in conversation, and anyone not present at that moment learns about them late or not at all.
The visible symptom is the round trip. Someone asks a question at the end of their day, the person who can answer reads it at the start of theirs, and a decision that would take four minutes in a room takes two days. Two of those in sequence and a week is gone.
The second symptom is the meeting that fits nobody. To include everyone, someone joins at seven in the morning and someone else at nine at night, every week, and the resentment builds quietly.
What AI can actually do here
The structural fix is not AI: it is writing things down by default, so being asleep costs nothing.
Where the tooling genuinely helps is making that cheap enough to do. A recorded walkthrough replaces a live demonstration, and a transcript makes it searchable, which is the difference between a video library and a reference. Summaries of long threads mean someone arriving eight hours late can catch up in a minute rather than reading forty messages.
Persistent shared spaces matter more than they sound. A board that holds a workshop’s output, or a page that holds a decision and its reasoning, means the work exists outside the moment it was done.
The habit that beats every tool: when a decision is made, write it down where it can be found, with the reason. Reasons are what let someone in another time zone act on it instead of asking why.
The limit is real. Some conversations need to be live. The goal is to reduce them to the ones that genuinely benefit, not to eliminate them.
How the tools differ
Slack is the conversation layer, and the free plan has one specific catch for distributed teams: 90 days of message history. If your team treats chat as institutional memory, that is a deletion policy. Pro is EUR 8.25 per user per month billed monthly or EUR 6.75 annually, Business+ EUR 18 or EUR 15 annually.
Loom replaces the meeting that was going to be a demonstration. Starter is free with 25 videos per person, 5 minute recordings and transcriptions in over 50 languages. Business is $18 per user per month billed annually with unlimited length, and Business plus AI $24 adding summaries and chapters.
Miro is the shared canvas for the work that needs a whiteboard, where the board keeps existing afterwards. Free gives 3 editable boards with unlimited team members, Starter $8 per member per month billed yearly, Business $20.
Notion is where decisions and documentation live. Free for individuals with limited blocks for workspaces of two or more, Plus EUR 9.50 per seat, Business EUR 19.50.
When you don't need a tool
If your team spans two hours of difference, you have four overlapping hours and this is a scheduling question, not a tooling one.
If you already have these tools and the problem persists, the gap is the writing habit. No purchase fixes a culture where decisions happen in calls and stay there.

Frequently asked questions
How many synchronous meetings should we keep?
Keep the ones where the outcome depends on reacting to each other: difficult decisions, conflict, planning with genuine disagreement. Replace status updates and demonstrations with recordings. That split usually removes most of the calendar without removing anything valuable.
Does the free Slack plan work for a distributed team?
It works for conversation and not for memory. The 90-day history limit means anything decided in chat disappears, which is the exact failure this whole setup is meant to avoid. Either upgrade or make it a rule that decisions leave chat and land in a document.
How do we handle urgent things?
Define what urgent means and how it reaches someone, in writing, before you need it. Without that, everything becomes urgent because people are anxious about delay. One named channel or a phone number for genuine emergencies removes the anxiety that makes everything else feel time-critical.
Is a recorded update really better than a meeting?
For one-directional information, yes: it is watched at double speed, at a convenient time, by only the people who need it, and it stays available. For anything needing genuine back and forth, it is worse. Sort by whether you need a response, not by convenience.
